Capture, assess and decide project change requests in one workbook: a change log, an impact assessment sheet, a CCB decision record and a live summary.

Free

Free Excel workbook. Capture, assess and decide project change requests in one workbook: a change log, an impact assessment sheet, a CCB decision record and a live summary. Download it, add your project details and use it today: no sign-up for software, no paywall.

A practical integrated change control workbook for project managers, PMOs and ERP program leads. The Change Log captures each request with type, priority, schedule, cost, effort and risk impact, status and decision. The Impact Assessment sheet breaks each change down across scope, schedule, cost, quality, risk, resources and stakeholders, so the change control board sees the full picture. The CCB Decisions sheet records options considered, conditions and who was told. The Summary counts open and approved changes and totals approved cost and schedule impact. Use it to stop scope creep, keep baselines honest and give sponsors a clear audit trail.

What's inside

  • Change Log: One row per change request. Days open counts from Date raised to Decision date (or to today if undecided).
  • Impact Assessment: Break each change down by area so the CCB sees the full impact before deciding.
  • CCB Decisions: Record of change control board decisions, conditions and communication.
  • Summary: key numbers calculated automatically from your data
  • Drop-down lists, worked example rows and formulas you can rely on

How to use it

  1. Agree the change control process with your sponsor first: who can raise a change, who sits on the change control board (CCB), and approval limits by cost or days.
  2. Log every request on the Change Log as soon as it is raised, even small ones. Give it a unique CR ID and set Status to Submitted.
  3. For anything beyond a trivial change, complete the Impact Assessment sheet: one row per affected area, comparing current baseline with the proposed change.
  4. Move the request to Pending CCB once the impact is understood, then record the board's decision, options and conditions on the CCB Decisions sheet.
  5. Update Status, Decision date and Decided by on the Change Log. Days open calculates automatically and stops counting once a decision date is entered.
  6. After approval, update the scope, schedule and cost baselines and set Baseline updated to Yes. Tell the team and affected stakeholders.
  7. Review the Summary sheet weekly and include open and approved change totals in your status report.
