The best consulting proposals read like the first deliverable of the engagement: they show the client you understood the problem before asking to be paid to solve it. This template gives independent consultants and consulting teams a proven structure with guidance on every section. Write a one-page executive summary, frame the situation in the client's words, set measurable objectives, explain a phased approach with client involvement and outputs, and list deliverables with named acceptors. Then present assumptions, three clear fee options, your team and next steps. A quality checklist and rate-card appendix help you send a proposal that is specific, credible and easy to say yes to.

How to use it

  1. Hold at least one discovery conversation before writing. Sections 2 and 3 should reflect what the client told you, in their words.
  2. Fill in sections 2 to 9 first and write the executive summary last, in about half a page.
  3. Describe each phase with its purpose, activities, client involvement and outputs, so the client can see what you need from them.
  4. Make every assumption testable. If one proves false later, it becomes a change request rather than a dispute.
  5. Offer fee options only if each is a real choice, mark your recommendation, and state fee basis, expenses and payment schedule clearly.
  6. Run the Appendix A checklist, remove all italic guidance, and check client names, titles and figures twice before sending.
  7. If the proposal will form the contract basis, have your standard terms reviewed by a qualified professional; otherwise follow it with a statement of work.

Who it's for
